Accounts Receivable Overview



The "Accounts Receivable" portion of this software is offered for your convenience, it does not have to be used in order for the billing system to operate properly. It is an optional feature and may be ignored if you are using another system to keep track of your company Accounts Receivable.

However, it may be used along with the Client Billing System to keep track of the Jobs that you are billing via the Client Billing System and any other small Jobs that you may have that do not require the AIA documents. This will allow you to generate reports for the accounts receivable of your entire company.




Jobs Billed using the Client Billing System


When you produce invoices using the "Client Billing System", The "Invoice Amount" and associated Retainage, if any, are transferred to the accounts receivable records automatically when you Update the Last Invoice prior to Preparing the Next Invoice.

When the payment for the invoice is received, the check amount must be posted via "Check Received" for the amount to appear in the accounts receivable records.




Other Jobs


You may keep track of any Job using the accounts receivable reporting system by entering transactions for the Job as outlined in "New A/R Transaction". All information will have to be entered manually. For example, in a month you might have one (1) transaction for the "Invoice Amount" and "Retainage" and one (1) transaction for payment of the invoice amount less retainage. You may also have occasional adjustments to retainage.




Adjustments to Accounts Receivable


Since the accounts receivable system has no impact on the Invoice, you may make adjustments whenever necessary to correct transactions, delete transactions and add transactions. This makes it quite simple to maintain an accurate and presentable report. When in the "Accounts Receivable" screen, use "Find" transaction, "Delete" transaction and "New" transaction to make the necessary adjustments.
